Logistics Coordinator

The Logistics Coordinator is a full-time, salaried position at IN Tradeshows & Events, reporting to the Services Coordinator.  Responsibilities include:

 

Logistics:

  • Coordinates and books all national and international show logistics with freight carriers, providing concise instructions as to location, required date/time, specific instructions, etc. based on show warehouse deadlines.
  • Creates shipping packets for each shipment that include Bills of Lading, all booth labels, and returning labels.
  • Provides ship dates and shipping cost estimates to the VP of Client Services.
  • Schedules and confirms UPS pickups from hotels and tracks return shipments.
  • Updates and maintains IN Tradeshows Shipping tracker via Google Sheets with all upcoming shipments and tracking all return shipments.
  • Receives calls from customers and drivers during evenings and weekends to confirm scheduled pickups/drop offs and verify addresses.
  • Resolves issues concerning damaged, lost, or delayed shipments.
  • Follow up with freight carriers 1-2 weeks after each show to obtain final invoices so that the customer can be invoiced within 30 days of show close.
  • Other special projects and/or duties as assigned by management.

 

Pickups/Deliveries:

  • Coordinates pickups/deliveries local to the Rochester area.

 

Travel:

  • Travel to tradeshows to oversee the setup and dismantle of properties may be required.

 

 

 

General:

  • Tradeshows typically install/dismantle and occur in the evening and over weekends; therefore, checking email, text, voicemail by the Logistics Coordinator after hours regarding any urgent questions from customers and staff onsite at shows is crucial and required.
  • A computer and printer will be provided.
  • This position will have a 6-month review period.  At that time, we will review to ensure the position best suits the individual and the company based on growth.

Qualifications/Skills:

  • Proficient with Outlook and Google Office applications, including Docs and Sheets
  • Ability to meet project deadlines
  • Detail-oriented
  • Strong organizational and time-management skills
  • Ability to prioritize in a fast-paced environment
  • Ability to work in a team environment
  • Previous shipping logistics coordination and tradeshow experience a plus
